What does a WhatsApp agent do, and when does it hand off to a person?

Short answer

It answers inbound messages, asks 3 qualifying questions, places the lead in a funnel stage, and schedules the follow-up. When the conversation needs a person, it hands it off with a written summary: what the customer needs, by when, and the suggested next step.

The gap it covers

Most small and mid-sized businesses lose leads in the gap between the first message and the first real answer. Messages arrive at night, on weekends, across three channels, and the follow-up depends on someone remembering. Past customers who would buy again never hear back.

A lead agent does not replace the sales team: it covers that gap so no message is left unanswered or without an owner.

The 4 stages of a conversation

Every conversation goes through 4 stages: lead, agent, follow-up, and human. The lead writes on WhatsApp, Messenger, or Instagram. The agent answers and asks a short sequence of 3 qualifying questions before classifying the lead into a funnel stage.

With that classification, the agent sends the appointment link or schedules the follow-up. The same agent reactivates past customers with a relevant message instead of waiting for them to come back on their own.

The classification sets the next step: the appointment link or a scheduled follow-up, instead of a conversation left open in the chat. All three channels reach the same agent, so the criteria are the same no matter where the lead wrote from.

When a person steps in

When a conversation needs a person, the agent hands it off. That handoff always comes with a written summary: what the customer needs, by when, and the suggested next step. Whoever picks it up does not have to reread the whole chat or ask again what the customer already answered.

The agent runs with guardrails and with human approval where it matters. It is worth agreeing in advance, with the team that will receive the conversations, what counts as "needs a person" in each business: that is an operations decision, not a technology one.

What the agent does

  • Answers inbound messages
  • Asks 3 qualifying questions
  • Places the lead in a funnel stage
  • Books or schedules the follow-up

What the person does

  • Takes the conversation that matters
  • Gets the summary: what, when, next step
  • Approves where it matters
  • Decides and sells

Where it stands

The capability is verified end to end. The first client deployment is built and in pre-launch. The demo in the case uses illustrative data; we do not publish conversion figures because there is no live operation yet to back them.

What it does not do

It does not close what matters on its own, and it does not leave a conversation without an owner: if the agent should not resolve it, it hands it off. Nor does it replace the person who sells; it delivers the lead already qualified and with context.
